The HR Trigger interfaceThe Challenge
A global mobile telecommunication company, with revenues of £30+ billion underwent a significant global business transformation programme to implement a single integrated operating model, supported by a single SAP system, across Finance, Supply Chain and Human Resource (HR). The update process between employee and user data was completely manual and relied on the individual HR departments (18 locations, cca. 85K employees) to notify the
Central User Administration Team to create, change and lock the SAP users. This manual process resulted more than tolerable number of missing user ids and lost souls, which could not be accepted in this strictly regulated and controlled corporate environment.
An automated interface was developed between the HR and the Central User Administration (CUA) system in order to keep the HR employee/contractor master data consistent with the
SAP user master database if there are any changes in the employee/contractor's status. 5 types of changes were captured in HR: employee/contractor hire, rehire, promotion, change and leave. Furthermore we have implemented a set of control reports to report and correct any technical malfunction of the interface.
Benefit for the Client
The HR-CUA applications and the active controls together have resulted
- operational excellence: no interruption due to missing user credentials in case of any change in the employment status, which saved a lot of cost of wasted resources
- control excellence: there was no lost souls found during in any consequent audits, which resulted a truly compliant and standardized environment for the user maintenance process
